CrimpTek follows the practices described in this policy whether or not every Australian Privacy Principle applies to it. References in this policy to rights or obligations “where applicable” mean rights or obligations available under applicable law. This policy does not limit any rights you have under law.

- technical and security information, such as IP address, request time, browser or user-agent information, error records and server/security logs; and
- website analytics described in section 8.
Please do not submit sensitive information or include personal information about another person unless it is reasonably necessary and you have authority to provide it. Redact irrelevant personal, financial or identifying details from uploaded documents where practical.
4. How we collect information
We usually collect information:
- directly from you through the website enquiry form, email, phone or in-person dealings;
- when you request, schedule, receive or pay for services;
- when an authorised person at your business supplies it;
- when an administrator creates customer, invoice, service, deduction or business records; and
- automatically when you use the website, through hosting, security and first-party analytics systems.
If you do not provide required enquiry details, CrimpTek may be unable to assess your request, contact you, provide a quotation or arrange service.
5. Why we collect and use information
CrimpTek may use information to:
- assess and respond to enquiries;
- identify equipment and likely service requirements;
- prepare quotations, schedule and deliver services, and provide follow-up support;
- contact customers about requests, appointments, invoices and payments;
- send an enquiry confirmation or other service-related email;
- maintain customer, invoice, accounting, tax and deduction records;
- administer and secure the website, investigate errors, prevent spam and respond to misuse;
- understand website traffic and whether contact or enquiry actions are useful;
- improve services, website content, usability and performance;
- manage disputes, insurance, professional advice or business transactions; and
- comply with legal, tax, accounting, regulatory or court requirements.
CrimpTek does not sell or rent personal information. Enquiry information is not used for unrelated marketing unless you separately ask for or agree to that communication.
6. Enquiry form, uploads and email
The CrimpTek service enquiry form is built with Forminator and currently asks for contact and company details, phone, email, service type, urgency, location, equipment details, a description of the issue and optional equipment photos or documents.
Form submissions are used to assess and respond to the request. They can be stored in the restricted WordPress administration area and sent to CrimpTek by notification email. An automatic confirmation is sent to the email address entered in the form. Optional files may be processed temporarily by the website and attached to CrimpTek’s notification email. Copies can remain in authorised mailboxes, restricted records or backups after temporary website copies are removed.
Email is delivered through WordPress and FluentSMTP using the configured mail service. Email headers, addresses, message content and attachments can pass through and be retained by the relevant outgoing and receiving mail providers. Email transmission cannot be guaranteed to be completely secure.
7. Customer, invoice and deduction records
Customer, invoice, payment-status and internal customer-note records are intended for authorised administrators and business operations. CrimpTek does not use the website to collect card details.
Deduction and expense attachments are stored in a private application location outside the public website document root and are served only through an authorised administration process. They are not intended to be publicly accessible. These controls reduce risk but no online system can be guaranteed completely secure. Authorised administrators should upload only information needed for the business record and redact unnecessary personal or payment information.
8. Website analytics and cookies
CrimpTek uses Burst Statistics as first-party website analytics. Analytics data is stored in CrimpTek’s WordPress database rather than sent to an external analytics dashboard.
Burst is configured in private mode, labelled “Cookieless” by the plugin. It uses neither an analytics cookie nor a browser/device fingerprint. On the server, Burst derives a pseudonymous visitor identifier from the request IP address and user-agent information using a random salt that changes daily. Because the salt rotates each day, the identifier is not used to recognise the same visitor across different days. Analytics can record:
- pages viewed and visit/session times;
- referring website or campaign information;
- browser, platform and device type;
- visits and sessions within the daily measurement period; and
- configured goals, such as clicks on contact, phone, email or service-enquiry actions.
CrimpTek uses this information in aggregate to understand traffic and website interactions. The rotating identifier may still be treated as personal information in some circumstances. CrimpTek does not use it to identify a visitor by name, build a lasting visitor profile or combine it with advertising profiles.
The web server necessarily receives an IP address when a page is requested. Burst uses it transiently to derive the daily rotating identifier and does not retain the raw IP address as the analytics visitor identifier. Hostinger, WordPress or security tools may separately retain IP addresses in access, error or security logs.
WordPress uses necessary login, authentication and preference cookies for administrators and logged-in users. Form, security or hosting features may use short-lived technical storage where needed to operate or protect the site. CrimpTek does not currently use third-party advertising cookies. If analytics mode or third-party services change, this policy and any required notice or consent mechanism should be reviewed.
9. SEO and other WordPress tools
CrimpTek uses WordPress plugins and theme features to operate the site. Yoast SEO is used to prepare search and social metadata; it is not used by CrimpTek to create advertising profiles of visitors. Forminator manages the enquiry form, FluentSMTP routes website email, and Burst Statistics provides the analytics described above.
Plugin publishers may receive limited technical information when an administrator explicitly connects an external service, requests support, downloads updates or opts into diagnostic sharing. CrimpTek should keep optional diagnostic or usage sharing disabled unless it is needed and appropriately assessed.
10. Who we disclose information to
CrimpTek may disclose information where reasonably necessary to:
- CrimpTek’s owner and authorised administrators;
- website hosting, backup, security, IT support and email-delivery providers;
- accountants, bookkeepers, insurers, lawyers and other professional advisers;
- contractors or suppliers assisting with a requested service, where needed and appropriate;
- a prospective purchaser or adviser in a proposed sale or restructure of the business, subject to confidentiality safeguards; and
- government bodies, regulators, courts, law-enforcement agencies or other parties where authorised or required by law, or where necessary to protect legal rights or safety.
Service providers are expected to handle information only for the services they provide and to apply appropriate confidentiality and security controls.
11. Overseas processing
The website and email services use Hostinger infrastructure. Depending on the selected hosting, email, backup, support, content-delivery and sub-processor configuration, personal information may be processed outside Australia.
Hostinger states that processing can occur in the United Kingdom, the Netherlands, Lithuania and Cyprus and, depending on the service or selected infrastructure, in other data-centre countries including the United States, Brazil, Singapore and Indonesia. Hostinger’s available infrastructure locations and sub-processors can change. Email may also pass through countries used by the sender’s and recipient’s mail providers.
Where Australian Privacy Principle 8 applies, CrimpTek will take reasonable steps required by law in relation to overseas disclosures. Contact CrimpTek if you want current information about the configured providers or processing locations.
12. How long we keep information
CrimpTek keeps information only for as long as reasonably needed for the purposes described in this policy, including service support, customer history, accounting, security, dispute resolution and legal requirements.
In general:
- enquiry and service records are retained while needed to respond, provide support and maintain a reasonable business history;
- invoices, transaction, expense, deduction and related records are generally kept for at least five years after the relevant record was prepared or obtained, or the transaction was completed, and longer where tax or other law requires it;
- uploaded equipment files are retained only while useful for the enquiry, service history or a related legal requirement;
- server, security and analytics records are retained according to configured operational and reporting periods; and
- deleted information may remain for a limited time in protected backups or email systems before normal expiry or rotation.
CrimpTek may delete or de-identify information when it is no longer reasonably needed and no law requires it to be retained.
13. Security
CrimpTek uses reasonable administrative and technical safeguards appropriate to a small service business. These can include encrypted website connections, role-based WordPress access, restricted administration areas, private storage for deduction attachments, software updates, spam and upload controls, backups and access logging.
No internet transmission, email or storage system is completely secure. If CrimpTek becomes aware of a privacy or security incident, it will investigate and take appropriate containment and remedial action. Where the Notifiable Data Breaches scheme applies and an eligible data breach is likely to cause serious harm, CrimpTek will notify affected people and the Office of the Australian Information Commissioner as required.
14. Access and correction
You may ask CrimpTek to provide access to personal information it holds about you or to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
Email michael@crimptek.com.au with the subject Privacy request, or call 0413 425 826. Describe the information and requested action. CrimpTek may need to verify your identity before responding.
Access or correction may be refused or limited where permitted or required by law. Where applicable, CrimpTek will explain a refusal and available complaint options.
15. Privacy questions and complaints
Send a privacy question or complaint to michael@crimptek.com.au or call 0413 425 826. Please include enough detail to identify the issue and the outcome you seek. CrimpTek will acknowledge and investigate the matter and respond within a reasonable time.
If the Privacy Act applies and you are not satisfied with the response, you may be able to complain to the Office of the Australian Information Commissioner.
16. Children
This website and CrimpTek’s services are intended for businesses and adults, not children. A parent or guardian who believes a child has provided personal information should contact CrimpTek so the information can be reviewed and, where appropriate, deleted.
17. External links
The website may link to external websites. CrimpTek is not responsible for the privacy or security practices of external sites. Review their privacy information before providing personal information.
18. Changes to this policy
CrimpTek may update this policy when its website, providers, analytics settings, business practices or legal obligations change. The current version will be published on this page with its updated date. Material changes should also be brought to affected users’ attention where reasonable or required.
